Best Dance Studio Management Software in 2026: Class Scheduling, Tuition Billing and Recitals

Best Dance Studio Management Software in 2026: Class Scheduling, Tuition Billing and Recitals

You run one to three rooms and somewhere between 50 and 400 students, and your week is a timetable that repeats, a tuition draft that must land on the first, and a recital that arrives every spring with costume sizes, ticket sales and forty parent emails. Generic booking tools handle none of that well. This comparison scores five products on the jobs a small studio actually has, and on what each costs once payment fees are counted.

The 30-Second Answer

  • Best all-rounder for recital-heavy studios: Studio Pro (also sold as DanceStudio-Pro). Its pricing page lists Recital Planning, Costume Management, Ticket Sales and a Parent Portal App, with no per-student fee, from $49 per month.
  • Best for a one-room studio on a budget: Studio Helper, at $50 per month plus $0.25 per student, with a 30-day trial. It is a general studio tool, so expect to handle recital logistics yourself.
  • Best established dance-and-gym class platform: iClassPro, from $139 per month with no commitment on its two cheapest plans. It names dance as a served industry; the page does not describe recital tools.
  • Best if you want to see a name you recognise: Jackrabbit, from $49 per month, but the student-count tiers are not shown in the page text we read, so you cannot price your studio without a demo.
  • Not a dance specialist: Mindbody lists dance studios as a category, from $79 per location per month on its FAQ, but mentions no recital features.

How We Checked (and What We Did Not)

Every price here comes from the vendor's own pricing page, fetched over HTTPS on October 27, 2026. We read the Jackrabbit, Studio Pro, iClassPro, Studio Helper and Mindbody pricing pages, plus Studio Pro's payment-processing page. We trialled nothing and loaded no live studio's data, so this is a reading of published claims, not a hands-on verdict.

Behind a wall: Jackrabbit's per-tier student amounts appear only in images, iClassPro's payment rates sit on a separate page that returned not-found for us, and neither publishes a trial. We tried to read ClassBug, Studio Director, Curacuri and Arbox too and dropped them: one page returned not-found, one stayed on "Loading", one did not resolve, and Arbox's page never mentions dance studios. Nothing is ranked on a number we could not read. All figures are USD.

Studio Pro (DanceStudio-Pro)

This is the only product we read whose pricing page lists the dance-specific jobs by name: Class Scheduling and Registration, Tuition Management, Recital Planning, Costume Management, Ticket Sales and a Parent Portal App. The page does not map checkmarks to plans clearly, so our reading is that Essentials ($49 per month) includes them; confirm on the trial. All plans say unlimited students.

The honest weakness is payments. Studio Pro's payment page lists native processing at 2.66% plus $0.25 per transaction for US merchants. If you plug in your own Stripe, PayPal or Authorize.net, the page adds a 1.35% tech fee on top of your processor's rate. ACH fees and contract length are not published.

It fits a studio with a spring recital and parents who want one app. Skip it outside the US or Canada if you need texting.

Jackrabbit

Jackrabbit's page offers three plans: Jackrabbit Class from $49 per month, Plus from $93 and Enterprise from $245. The first two are tiered by student count, and the tier amounts live in images that did not appear in the page text, so we cannot tell you what 80 or 250 students costs. The cheapest plan lists online registration, billing, scheduling, reporting, unlimited support and free data imports. Plus adds a branded mobile app with a one-time $169 setup fee. The page says "no contracts or setup fees", which sits awkwardly beside that Plus fee.

Payment rates are not stated, the page offers demos rather than a trial, and recitals and costumes are not mentioned. It fits studios that want a long-established name and will accept a demo call to get a number. Skip it if you want a price before talking to anyone.

iClassPro

iClassPro serves gymnastics, cheer, swim and dance. Signature is $139 per location per month with no commitment, Elite is $199 with no commitment, and Premium is $299 with a 12-month commitment. The three plans share one feature list: class and event booking, point of sale, attendance, check-in kiosk mode, online waivers, 2-way texting and QuickBooks integration. A branded app is an add-on at $499 setup plus $150 per month; the parent-facing portal is tied to that add-on.

Dance gets no specific features on the page, and payment rates are on a separate page we could not load. At $139 it costs nearly three times the entry price of Studio Pro, which makes sense for a multi-room operation that also runs camps, parties or a gym-style front desk, and is hard to justify for a one-room studio.

Studio Helper

Studio Helper lists one plan: $50 per month plus $0.25 per student, "includes all features", with a 30-day free trial. Its homepage names dance studios among music studios and martial arts schools, and describes scheduling, invoicing, online payments, payroll and parent updates. It does not mention recitals, costumes or a parent portal, and the pricing page does not state processing fees, contract terms, or how often the per-student fee is billed.

Cheap and general. It fits a small studio that mostly needs a timetable and invoices. Skip it if costume orders and ticketing are where you lose your weekends.

Mindbody

Mindbody lists three tiers (Starter, Accelerate, Ultimate) priced per location, from €99 on the page and $79 per month in USD on its FAQ, with custom pricing for multi-site brands. Mindbody Payments has no monthly fee, with a fixed $0.10 to $0.30 per transaction plus a rate the page does not give; you may use another processor. Dance studios appear only as a category. We found no recital features and no trial for Mindbody software.

It fits a studio that also sells drop-in classes, memberships and workshops to adults. Skip it if recital depth matters.

Why Dancers Need More Than a Gym Tool

A gym member books a slot and pays a membership. A dance student belongs to a family, a level, a season and a recital, so you need costume sizing, per-student recital fees and a parent who sees it all. The simpler gym case is in our scheduling software for small gyms comparison.

Where the numbers go wrong

Per-student fees against flat fees. At 80 students Studio Helper's published numbers work out to $50 plus $20, or $70 per month. Studio Pro Essentials stays at $49 with unlimited students. At 300 students Studio Helper becomes $125. Jackrabbit's tiers are the unknown: ask for the 80-student and 250-student prices in writing.

Processing quietly exceeds the licence. Say 80 students pay $100 a month, $8,000 total. At Studio Pro's native 2.66% plus $0.25, that is $212.80 plus $20, or $232.80 per month, about five times the $49 licence. Using your own processor, the 1.35% tech fee alone is $108. Compare processing quotes before software quotes.

Annual and monthly traps. iClassPro's Premium plan needs 12 months while the cheaper two do not. A branded app costs extra on both: $169 setup on Jackrabbit Plus, and $499 setup plus $150 per month on iClassPro.

Setup and migration. Jackrabbit lists free data imports; the other pages do not mention migration at all. Ask who moves your student, family and balance data, and what it costs, before the trial ends.

Who This Is NOT For

  • A single instructor renting studio time three evenings a week: a shared calendar and a payment link cost less than any plan above.
  • A competition team with no weekly classes: you need rehearsal scheduling and travel fees, not enrolment and tuition drafts.
  • Someone who already bills through Stripe plus Google Sheets and has under 40 students: the setup time may exceed the saving.
  • A studio needing a verified price today: Jackrabbit and iClassPro publish partial numbers, so you will need a demo.
  • Anyone outside the US: we read dollar prices and US processing rates only.

What I use to collect the prices behind a table like this: AgentDelegator CLI — $5 one-time

Every studio-software comparison starts with pricing pages that change faster than anyone rewrites them. I use one agent to open each vendor's pricing page and pull the listed plan, one to normalise flat fees against per-student fees, and one to flag the vendors that publish no price at all — so the table above is built from a sheet collected in one sitting instead of an afternoon of copy-paste. It runs on Node.js 18+ on macOS, Linux and Windows: define the workflow once in agents.json, then agentdelegator run. It is my own product, and the point of the box is that the numbers above did not arrive by hand.

Disclosure: AgentDelegator CLI is sold by the same people who publish this blog — if you buy through that link the money comes to us directly, and there is no third-party affiliate program. There are also no affiliate links to any of the software vendors compared in this article, because none of them pay us and we did not want our verdict to be worth a dime to anyone.

Honest Verdict

For a small studio with a recital, start the Studio Pro 30-day trial: it is the only page we read that names recital, costume and ticket tools and a parent app, at $49 a month with no student cap. Then price your processing before you commit, because that line, not the licence, is your real bill.

If you only need a timetable and invoices, Studio Helper's $50 plus $0.25 per student is cheap and clear. If you run several rooms or a camp-and-party business, iClassPro's $139 entry makes more sense. Jackrabbit deserves a demo call, but go in asking for the 80-student price.

And a spreadsheet is genuinely right when you have a few dozen students, one teacher, and a recital you already run from a group chat. Software pays off when billing or costume chasing takes you more than a few hours a month.
