Best Payroll Software for Small Restaurants
Best Payroll Software for Small Restaurants
Restaurant payroll is not office payroll with longer shifts. Your servers earn a tipped wage that may sit below the standard minimum, your cooks are hourly with overtime, someone is always getting cash tips, and if you sit near a state line, a few of your people may live or work across it. Generic payroll setups handle the easy 80% and quietly get the tipped 20% wrong. On top of that, the price you see on a pricing page is rarely the price you pay, because most tools bill a base fee plus a fee for every person paid.
This guide compares four options (Gusto, Square Payroll, Toast Payroll and ADP RUN) on tip handling and true monthly cost. A note on method: this comparison is based on published pricing pages and vendor documentation checked in October 2026. We did not run a hands-on test of any product, and we have no affiliate relationship with any of them. Prices change, so every figure here is dated and you should re-check before buying. Where we could not read a price, we say so rather than guess.
The 30-second answer
- Best default for most small restaurants: Gusto, as the most commonly compared general-purpose option, provided its tip and tip-credit handling matches your state when you test it. Its price was not verifiable for this post, so get a quote or use its calculator first.
- Best if you already use Square POS: Square Payroll. It has the only price we could verify (checked October 2026): $35 per month plus $6 per month per person paid, and it sits in the same ecosystem as your sales and tip data.
- Best for tipped or multi-state staff: Toast Payroll if you run Toast POS, since tips are captured where the sale happens. For multi-state teams, ADP RUN is worth a quote because multi-state tax filing is a core payroll-vendor job. We could not verify either price.
- Best budget or contractor-only route: Square Payroll's contractor-only option, listed at $6 per month per person paid (checked October 2026). It does not suit a team of tipped employees.
How we compared
We looked at six things, in the order a restaurant owner usually gets burned by them:
- Tip credit and tip-pooling handling: does the tool track tips, cash tips and a tipped minimum wage, and can it handle a pool?
- True monthly cost: base fee plus per-person fees, at your headcount and pay frequency.
- POS integration: does sales and tip data flow in, or do you retype it every pay period?
- Onboarding and support: what it takes to move mid-year from another provider.
- Multi-state tax registration: whether the vendor registers and files in the states where staff work.
- Export and portability: can you get payroll history out if you leave?
Comparison table
| Product | Starting price (as published) | Per-person fee | Tip handling | POS integration | Multi-state compliance | Export |
|---|---|---|---|---|---|---|
| Gusto | Not verified for this post; check the vendor's pricing page | Not verified; plans are generally structured as a base plus per-person fees | Tips can be entered on payroll; confirm tip-credit and pooling behavior for your state before committing | Check the vendor's integration list for your POS | Not verified; ask in a demo | Not tested; ask about report and data export |
| Square Payroll | $35/month full-service; contractor-only $6/month per person (checked October 2026) | $6/month per person paid (checked October 2026) | Works from Square sales and tip data when you use Square POS; confirm tip-credit specifics for your state | Native with Square POS | Not verified; ask before hiring across state lines | Not tested |
| Toast Payroll | Not verified; quote-based as far as we could tell | Not verified | Built for restaurant tips and designed to work with Toast POS data; confirm pooling rules for your state | Native with Toast POS | Not verified | Not tested |
| ADP RUN | Not verified; quote-based | Not verified | Handles tipped employees as a general payroll feature; test your pooling arrangement before switching | Check which POS systems connect | Multi-state filing is a core service; confirm scope in a quote | Not tested |
Prices checked October 2026. Only the Square Payroll figures were read directly from a vendor page. For Gusto, Toast Payroll and ADP RUN, the pricing pages did not expose readable figures when we checked, so we have not stated any numbers for them. "Not tested" means we did not run the product.
Deep dives
Gusto: the default people compare against
Gusto is the name most shoppers bring to the comparison, and search suggestions around it are almost all about cost, pricing and rates. That is a clue: owners want a clear number and have to work for it. We could not read a specific price from its pricing page in our check, so use its calculator with your real headcount and pay frequency and write down the quote with the date.
Real limits: it is a general small-business payroll tool, not a restaurant one. You need to confirm how it handles tip credits, cash tips and any pool, and whether your POS tip data flows in or you key it manually each period. We did not test any of this.
Verdict: a reasonable first quote to collect, especially if you do not use Square or Toast POS. Do not sign until you have run a sample pay period with a tipped server.
Square Payroll: best if you already run Square POS
Square lists full-service payroll at $35 per month plus $6 per month per person paid, and contractor-only payroll at $6 per month per person paid (checked October 2026). If you already use Square for sales, team timecards and tips already live in one account, which removes the retyping step where many tip errors begin.
Real limits: the per-person fee means a large or high-turnover team costs noticeably more than the headline $35. We did not verify how it handles every state's tipped-wage rules or multi-state registration. If you leave Square POS, much of the convenience goes with it.
Verdict: the clear starting point for a Square restaurant, and the only option here with a price we can anchor on.
Toast Payroll: best if you already run Toast POS
Toast sells payroll alongside its restaurant POS, and the pitch is the same as Square's: tips and hours recorded at the register feed payroll directly. We could not read a price from its pages, and it appears to be a quote-based product. Treat any number you hear as a quote to date and write it down.
Real limits: it is most useful if you are already a Toast customer, and pairing it with a different POS defeats the point. Because we have no verified price, we cannot say how its per-person cost compares. We did not test it.
Verdict: ask for a quote if you run Toast POS. If you do not, skip it.
ADP RUN: the established option for complicated staffing
ADP RUN is aimed at small businesses that want a large, established payroll provider, often with HR and tax filing support attached. Its pricing page did not expose readable figures in our check, so expect a quote rather than a listed price.
Real limits: quote-based pricing makes comparison harder, and add-ons for HR and time tracking can change the bill. We did not verify tip features in detail or test the product.
Verdict: worth a quote if you have staff in more than one state or want a human to own filings, but compare the written quote to the per-person math below.
The tipped wages problem
Tip credits vs cash tips
In many places an employer may pay tipped staff a lower cash wage and count tips toward the standard minimum, a tip credit, with rules that differ by state. Payroll software has to know the cash wage, count reported tips, and check the total against the minimum. Cash tips are the weak spot: if servers do not report them, or you enter them late, the paycheck and the tax withholding are wrong. Whichever tool you pick, ask how cash tips get recorded and who is responsible for entering them.
Tip pooling and who breaks
A tip pool spreads tips across a group of employees, and who is allowed in the pool varies by rule. A common failure is a generic payroll setup that only knows "tips per employee" and has no way to represent a pool distribution, so someone does the split in a spreadsheet and keys the results in. That works until someone makes a typo or a rule changes. Before you buy, run your real pool through a demo. We did not test any vendor's pooling behavior.
Multi-state staff
If a cook lives across a state line, or you open a second location nearby, you may owe registration and withholding in more than one state. Some vendors register you and file; others expect you to do it yourself or sell it as an add-on. Ask in writing what is included and what the extra charge is. This is general guidance, not legal or tax advice, so take specifics to your accountant.
Cost math
The only formula we can anchor to a verified figure is Square's: $35 base plus $6 per person paid per month (checked October 2026). The assumptions below are ours, to show how headcount moves the bill. We are assuming payroll is billed monthly by people paid, a single state, and that fees apply to each person paid in the month. Check the vendor's terms for how it counts people and pay frequency.
- 8 employees: $35 + (8 x $6) = $83 per month.
- 15 employees: $35 + (15 x $6) = $125 per month.
- 25 employees (seasonal peak): $35 + (25 x $6) = $185 per month.
So, on Square's published formula and these assumptions, a small restaurant lands somewhere between roughly $80 and $190 per month, and headcount drives most of the swing. For Gusto, Toast Payroll and ADP RUN we will not offer ranges, because we have no verified figures. The method is the same: get a written quote at your headcount, then add any extras for multi-state filing, time tracking and year-end forms. Pay frequency matters too, since some vendors charge per run rather than per month. Weekly pay for a team can cost more than twice-monthly, depending on the terms.
Who this is NOT for
- A single food-truck owner with no employees. You do not need payroll software, just a way to pay yourself. See our food truck POS guide below.
- Anyone wanting accounting and inventory in one box. These are payroll tools, not full accounting or inventory systems.
- Franchises with corporate payroll processes. If headquarters mandates a provider, this comparison will not help.
- Anyone seeking legal or tax advice. This is general information. Tip-credit and pooling rules depend on your state, so talk to an accountant or employment lawyer.
- Owners who want verified prices for every tool. We could only verify one vendor's figures, so you will need to collect the other quotes yourself.
Our recommendation
If you run Square POS, start with Square Payroll, since the cost is known and the data already lives with your sales. If you run Toast POS, request a Toast Payroll quote first for the same reason. If you use neither, collect written quotes from Gusto and ADP RUN at your actual headcount and pay frequency, then run one real tipped-server pay period, including cash tips and any pool, through each demo before you commit. The tool that gets that paycheck right and has the lowest all-in monthly number is the one to pick, and a payroll tool with a slightly higher fee that avoids wrong paychecks is usually the cheaper choice in the end.
